Privacy Policy

WNC Business Keeper is operated by Brittain Schiele, a sole proprietor in Asheville, North Carolina. This policy explains what we collect, why, how long we keep it, and how you get it back or get rid of it. It is written to be read, not to be survived.
What we collect
- Account information — your name, business name, email address and phone number.
- Business records you give us — transactions, documents, receipts, and the details of your business needed to keep its books and track its obligations.
- Data from services you connect — where you connect an accounting or other service, the records that service exposes to us with your authorisation.
- Operational records — a log of actions taken in your account, who approved them and when. This is core to the product rather than incidental: it is what lets you see everything that happened.
We do not collect payment card numbers. We do not use tracking or advertising cookies on this website.
Data from QuickBooks and other connected accounts
If you connect QuickBooks Online, you authorise us through Intuit's OAuth process. Concerning that data:
- We read; we do not write. B-MGMT contains no code path that writes to your QuickBooks company. Your accounting system stays the record you control.
- We use it only to serve you — to bring your history into your own books, reconcile it, and answer your questions. Never to train models, never for analytics across customers, never for marketing.
- We do not sell it and we do not share it with third parties for their own purposes.
- Every read of your credentials is recorded and visible to you, because a record of access only we can see is not a record of access.
- You can disconnect at any time. See Disconnecting an account.
How your data is separated
Each customer's records are isolated at the database level, not merely by application code being careful. A query that forgot to filter by customer returns nothing rather than someone else's books.
Sub-processors
We use a small number of infrastructure providers to run the service — hosting, database, and the AI model provider that powers the assistant. They process data on our instructions to deliver the service to you. We do not use your business records to train any model. A current list is available on request.
How long we keep it
For as long as you have an account, plus a period afterwards where records must be retained for tax or legal reasons. Financial records are commonly retained for several years; where the law requires us to keep something, we keep it and can tell you why.
Deletion and export
Email hello@wncbusinesskeeper.biz from the address on your account. We will export your data to you in a usable format, or delete it, within 30 days. Where a record must be retained by law, we will tell you which and for how long rather than quietly keeping it.
Security
Data is encrypted in transit and at rest. Credentials for connected services are held in a vault and every access is recorded. Access is limited to what is needed to operate the service. No system is perfectly secure, and we will not pretend otherwise — if a breach affects your data, you will be told promptly and plainly.
Your choices
You can access, correct, export or delete your data, and disconnect any connected service, at any time. Contact us and we will do it.
Children
This is a service for businesses. It is not directed at anyone under 18 and we do not knowingly collect their information.
Changes
If this policy changes materially, we will tell account holders by email before the change takes effect. The date at the top always reflects the current version.
